How to connect  Fareharbor    to Winedering

What will be connected through the integration?

Here is the list of integrations available:

  1. Availabilities: any updates to availabilities, such as opening or closing dates and times, are reflected on Winedering.com in real-time. You can confidently manage your calendar exclusively through Fareharbor.

  2. Bookings: Bookings confirmed by customers on Winedering are automatically sent to your booking engine in real time. Any necessary actions to manage these bookings must be performed directly on your booking engine (cancellation, modification, etc.). If the booking needs changes in the number of guests or prices/total amount, you should ask the customer to cancel it and recreate it, or you can do it on their behalf.
    Attention! If there is a discrepancy in prices between Fareharbor and Winedering, the official total amount for a booking is always the one listed on Winedering. This amount is also noted in the booking details on Fareharbor. Keep in mind that this can affect how you calculate your revenues, the commission Winedering will charge, and the amount you need to include on the receipt or invoice issued to your customer.

Pricing and Contents
Unlike availability, the descriptions, name and the pricing list will not be synchronized with Fareharbor
Any price changes must be communicated manually to Winedering.

How to Connect Your Experience on Winedering with Fareharbor 

Before proceeding
Ensure that the experience on Winedering that you want to connect is set to ONLINE.
Retrieve the Account ID and the Item ID for the experience you want to connect, which is available in the Fareharbor panel.


1. Active the Integration on Fareharbor

To connect your FareHarbor account, you need to request the activation of the integration from FareHarbor support.

To do this, open a support ticket at the following link:
https://help.fareharbor.com/submit/

In the first question, select "API Connections".

If "Winedering" is not listed as an option, simply type "Winedering" in the "Message" field.

Once the request is submitted, the FareHarbor team will proceed with activating the connection.


1a. Retrieve the Account ID and Experience ID from FareHarbor

Once the connection has been activated and you see the integration in your FareHarbor Dashboard, you’ll need to retrieve two pieces of information to complete the setup on Winedering:

  • Account ID: This is the Shortname, and you can find it directly in the URL when accessing your FareHarbor dashboard.



    In this case, the shortname is: romefoodtours-api-testing

  • Experience ID: This corresponds to the specific experience (or "Item") you want to connect.
    You can find the list of Item IDs in the Items tab of your FareHarbor account.



Copy the correct Item ID and Shortname, then paste them into the configuration form on Winedering.


2. On Winedering

Log in to your control panel. From the left menu, click on "Experiences".



In the experiences table, click the name of the experience you want to connect

Note: The experience must be set to ONLINE to connect it to Fareharbor .



From the left menu, click on the "Connect Booking Engine" button.


 

CONNECTING WITH FAREHARBOR

A new window will open where you can select the Fareharbor booking engine.



Enter your Account ID in FareHarbor, the currency, and the experience ID you want to connect to Winedering. These values must be taken from FareHarbor.

Click on the "Check experience" button. 



If the Experience ID is valid, a summary of the entered data, including the experience name retrieved from FareHarbor, will be displayed. 
You can confirm the information is correct by clicking the "Confirm and Save" button. 



If the name of the experience doesn’t match the one you intended to link, click the 'Insert another Experience ID' button to try again.

After saving, if no errors occur, you will be redirected to the configuration wizard.

NOTE
Before the connection to Fareharbor becomes available for online booking, it will be necessary to:

  • Identify the pricing lists available on Fareharbor.

  • Associate Fareharbor's customer types with Winedering's pricing.



WIZARD - STEP 1 - PRICING LIST

In Fareharbor, pricing lists are associated with specific dates. When you first launch the wizard, an overview of all pricing lists available for the date immediately following the date on which the wizard is completed will be displayed.



If the list does not include all the pricing lists associated with the experience, you will need to select a different date using the box "Can't find all the pricing lists you have on FareHarbor? Click here and follow the procedure." located below the list.




If all the pricing lists are present, you can proceed by clicking the button "All pricing lists found. Continue." to complete the wizard configuration.



WIZARD - STEP 2 - MATCHING CUSTOMER TYPES

Each pricing list can have different Customer Types configured, such as "Adult," "Child," each with an associated price.

If you choose to use a particular pricing list, you must associate all the Customer Types defined in that list.



In case of discrepancies between the prices configured on Fareharbor and those on Winedering, the official total amount for a booking will always be the one indicated on Winedering. This amount will also be reflected in the booking details on Fareharbor.
Please note that such discrepancies may affect revenue calculation, the commission applied by Winedering, and the amount to be included in the receipt or invoice issued to the customer.

LANGUAGE-SPECIFIC PRICING LISTS

If Fareharbor Pricing Lists are used to allow booking the experience by specifying a language, you will need to indicate the language associated with each Pricing List during the completion of the Wizard.

Possible Errors

1. Every Price per Type must be active in at least one language. The language field cannot be left empty.



2. On FareHarbor, each Customer Type in a pricing list can be linked to only one combination of Price Type and language in Winedering.



3. If you have multiple calendars on Winedering that differ only by time, and the price per person type is the same, you can select the 'price per type' from any of the calendars to associate it with the options. The key point is to ensure the option is linked to the 'price per type' that best matches the price listed on Fareharbor.



Once the wizard has been completed correctly, the association will be automatically activated on the Winedering frontend site.

How to Verify the Connection with Fareharbor


Log into your control panel.

From the left menu, click on "Experiences".



In the list of experiences, those connected to Fareharbor will have a Farehabor badge next to the name.


Click the name of the experience.



From the left menu, click on the "Manage Booking Engine" button.



A screen showing the booking engine configuration and current connection status will appear.


Troubleshooting Connection Issues with Fareharbor

If the connection is temporarily suspended
The availabilities will not be visible, and the experience will not be bookable on Winedering.

HOW TO IDENTIFY CONNECTION ISSUES

Log in to your control panel.

From the left menu, click on "Experiences".


In the list of experiences, the Fareharbor name will appear in yellow instead of green if there is an issue.



Click on the experience name, and the "Manage Booking Engine" button will be red.




Clicking the 'Manage Booking Engine' button will open a page displaying a warning message.


How to Disconnect Your Experience on Winedering from Fareharbor

Considerations before proceeding:
If the experience is ONLINE, the availability shown on the site will be based on what is set on Winedering.
Ensure that the configuration of the experience is correct before disconnecting it from Fareharbor.

Log in to your control panel and open the details of the experience you want to disconnect from Fareharbor.

From the left menu, click on the "Manage Booking Engine" button.


A new page will open showing the status of the connection. Click the "Reset the configuration process" button to remove the connection and start the setup from scratch.


Managing Bookings Connected with Fareharbor

Whenever a user confirms a booking for an experience connected to Fareharbor, the booking will also be automatically created in Fareharbor.

Important!
The creation or update of bookings from/to Fareharbor is not in real time!
It may take a few minutes for Fareharbor and Winedering to synchronize and reflect the same information.

 Log in to your control panel. From the left menu, click on the "Bookings Received" button.


Click on the booking you wish to view in detail.

 

If the booking has been correctly created or is pending creation in Fareharbor, it cannot be managed within WinederingAny changes, such as confirming or rejecting the booking, must be made in Fareharbor.


If errors occur during the creation of the booking, they will be displayed in the booking details. Unless the issue is related to availability, you can manually retry by clicking the "Retry" button.


How to Check for Errors When Booking Only on Winedering

In case a booking is created exclusively on Winedering and not on Fareharbor, it is essential to verify the status of the experience on Winedering and check for any potential errors.

To do this, follow the steps provided in the section "How to Verify the Connection with Fareharbor".
