Your experience cannot be booked: what to do

When an experience connected to a booking engine cannot be booked on Winedering, we send you an email and show a red notice in your supplier area, on the experience and on its calendar. The notice says which of the three cases below applies, and its link takes you to where you can fix it.

We read your booking engine every night: once the experience can be booked again, the notice disappears after our next nightly reading. If you fixed it by matching the prices, it disappears shortly after you save. If the experience went to draft in the meantime, fix the problem, then publish it again from your supplier area.

1. Your booking engine gives us no dates

Your booking engine answers, but it has no date with free places for this experience in the coming months, so customers have nothing to book.

What you can do:

  • Open the dates on your booking engine. Customers book months in advance: open the next season as soon as you can. A single open date is enough to keep the experience online.
  • If the experience is seasonal and you cannot open the dates yet, click «Tell us about the dates» in our email or in the notice in your supplier area, and give us the date it reopens: the experience stays online, and we do not write to you about it until then.
  • If you no longer offer the experience and it has no upcoming bookings, tell us in the same form and we take it offline.

If nothing changes, we send you a reminder after 3 days, and after 7 days the experience goes to draft. An experience with upcoming bookings goes to draft only when it has no upcoming bookings left.

On Bókun

We read the availability of the experience with at least one free place. Check that the experience is active on Bókun and has open dates with free places in the coming months.

On Regiondo

We read the time slots with free places of each variant of your offer. Check that the offer is active, not archived, and has open time slots in the coming months.

On FareHarbor

We read the availability of the item with free places. Check that the item is active on FareHarbor and has open availability in the coming months.

On Wine Suite

We read the availability of the experience on Wine Suite. Check that the experience is active and has open dates in the coming months, and that the Winedering channel is active on Wine Suite.

On Holidoit Business

We read the availability of the product on Holidoit Business. Check that the product is active and has open dates with free places in the coming months, and that Winedering is still enabled as a sales channel for it.

2. Your prices are not matched

Your booking engine has dates, but none of their rates is matched with a Winedering price, so nobody can book them. It happens when a rate or a calendar is deleted and created again.

Click «Match the prices» in our email, or open the experience in your supplier area and click «Manage Booking Engine». On the price page, match the adult price, and every other price you sell, with its rate on the booking engine, for each language, and save. The dates come back shortly after you save.

Matches to rates that no longer exist on your booking engine do not block the page: match the new rates and save.

If nothing changes, we send you a reminder after 3 days, and after 7 days the experience goes to draft. An experience with upcoming bookings goes to draft only when it has no upcoming bookings left.

On Bókun

Each rate and pricing category of Bókun is a row of the page. With tiered prices, each tier needs its own Winedering price, and the tiers must not overlap.

On Regiondo

Each option of your offer is a row of the page: match each one with a price per person.

On FareHarbor

We do not send this notice for FareHarbor, but keep these rules in mind whenever you match your FareHarbor prices. Winedering books one customer per person on FareHarbor, of the customer type matched with the price of that person. A customer type priced per group, such as a private tour, cannot be matched: a booking of 4 people would book 4 groups, or be refused when FareHarbor allows that customer type only once per booking. Create on FareHarbor a customer type priced per person or, for prices that change with the size of the group, one customer type per group size (for example one for groups of exactly 2 people, one for exactly 3), each priced per person, and match each one with the Winedering price for that group size.

Pricing lists on FareHarbor are tied to dates: if the first step of the wizard does not show all of yours, choose a date when the experience is open on FareHarbor.

On Wine Suite

Wine Suite has no price matching: the prices are those of your Winedering calendar, so this case does not apply.

On Holidoit Business

Each option of the Holidoit Business product, with each of its participant types, is a row of the page: match each one with a Winedering price and its languages. Holidoit Business takes one option per booking: match the prices booked together, such as adults and children, to the same option.

3. We can no longer read the experience on your booking engine

Your booking engine no longer gives us this experience: it was deleted or deactivated, it is no longer shared with Winedering, or our access to your account was removed. Until it is solved, nobody can book it.

Click «Check the connection» in our email or in the notice in your supplier area, then:

  • if the experience still exists, check on your booking engine that it is active and shared with Winedering (below, engine by engine);
  • if you created a new experience on your booking engine to replace it, connect the new one: open the experience in your supplier area, click «Manage Booking Engine», then «Reset the configuration process», and connect it with the new ID;
  • if you want to keep it bookable on Winedering without the booking engine, check that its calendar and prices on Winedering are correct, then disconnect it with «Reset the configuration process»;
  • if you no longer offer it, write to us and we take it offline.

We check again every night. If your booking engine tells us that the experience was deleted, it goes to draft the same night. Otherwise, if your booking engine still refuses it, it goes to draft about two days after our email. An experience with upcoming bookings goes to draft only when it has no upcoming bookings left.

On Bókun

Bókun shows us an experience only if it is included in your contract with Winedering on the Bókun marketplace. Check that the experience is active and still in the contract: a new experience must be added to the contract before you connect it. If you leave the marketplace, Bókun no longer gives us any of your experiences, and they go to draft the same night.

On Regiondo

Check that the offer is active and not archived, and that the Winedering channel is active on Regiondo. The ID to connect is the second code of the SKU column in «Manage Offers», «My Offers» (usually 6 digits, no letters), not the code that starts with T-.

On FareHarbor

Check that the item is active on FareHarbor and still shared with Winedering through the API connection. If it is, ask FareHarbor support why Winedering can no longer reach it through the API.

On Wine Suite

Check that the Winedering channel is active on Wine Suite. The experience may have been replaced by a new one: in that case, connect the new one. The Winery ID and the Experience ID are long codes of letters and numbers that you find in your Wine Suite panel.

On Holidoit Business

Check that the product is active on Holidoit Business and that Winedering is still enabled as a sales channel for it: if it is not, ask Holidoit to enable it again. If you replaced the product with a new one, connect the new one: the connection page lists only the products that Holidoit Business shares with Winedering for your account.
